Notes, Terms and Conditions

Choose your delegate type at the front page of the registration form and then proceed to the next page.
Fill in the requested and needed information.
Choose your payment method: credit card or invoice. Credit card recommended, the payment by invoice option is only available for Early Bird registrations.
If you have extra pages, add the payment for them by choosing “add a page.”
If you are traveling with an accompanying person, add the payment and provide the needed information.
You’ll receive a confirmation with a receipt (credit card payments) or an invoice (invoice payment method) by email.
One-day registration does not include dinner and reception. All other registrations include dinner and reception.
Papers can only be registered with an author registration. Student registrations cannot be used to register papers.
In case of cancellation, the refund policy is as follows: All refund/cancellation requests must be provided in writing and received before the specified deadline. The cancellation fee is 100 USD. Cancellations after the specified date, and no-shows, are not eligible for a refund.

Non-Author Conference Registration includes: Conference attendance, copy of proceedings, tea/coffee, lunches on all days, attendance to all workshops, and gala dinner.

Student Conference Registration includes: Conference attendance, copy of proceedings, tea/coffee, lunches on all days, attendance to all workshops.

One-Day Registration includes: Conference (or workshop) attendance on the selected day, copy of proceedings, tea/coffee, and lunch on the selected day.

Frequently Asked Questions

Does each paper need a full registration, or can I register several papers with one registration?
A full registration includes one paper. One additional paper can be added for a fee of 200 USD/3,000 MXN. A maximum of two papers can be associated with one full registration.
I am a student. Can I register my paper at a discounted registration rate?
No. Per conference policy, for an accepted paper to be included in the conference, it must be accompanied by a full registration. Discounted registrations can be used for attendance, but not for the inclusion of a paper in the conference.
If I register for a single day, is my paper included in the conference proceedings and IEEE Xplore® Digital Library?
No. Per conference policy, for an accepted paper to be included in the conference, it must be accompanied by a full registration. Discounted registrations can be used for attendance, but not for the inclusion of a paper in the conference.
If a student accompanies one professor that has a full registration, will the student receive an invitation letter for visa purposes?
No. The student needs to register in order to receive a letter. Every registration is accompanied by a Visa Assistance Letter (VAL).
I have registered for the conference but have not received a Visa Assistance Letter.

I have not received a Visa Assistance Letter but would like to use it for my co-author or student.
No. The VAL is not transferable as it is tied to a specific registration confirmation number. If you wish to cancel your registration, please contact the conference organizers.
I have received a Visa Assistance Letter. Can you add my co-authors’ names to it?
No. The VAL is tied to a specific registration confirmation number and is issued only to a person who has registered for the conference.
Where will the IEEE conference attendees stay? We will soon post some hotel ideas on the website. There are a number of hotels in downtown, but there are a few hotels at a shorter distance from the University.
Will there be organized sightseeing tours for the spouses of the conference attendees? We will offer a registration option for accompanying persons. Depending on the number of such registrations, we will either organize tours, or provide some guidance.
How far is the conference site from the center of City? Around 15 minutes by subway.
